Refund and Cancellation Policy

Future of AI Studio — Effective Date: February 2025

This Refund and Cancellation Policy outlines the terms under which Clients may cancel engagements and request refunds. This policy supplements and is subject to the applicable Statement of Work and Terms and Conditions.

1. General Principles

1.1 Commitment to Satisfaction

Future of AI Studio is committed to delivering high-quality Services that meet Client expectations. We encourage open communication throughout all engagements to address concerns before they become issues.

1.2 Good Faith Resolution

Before initiating a cancellation or refund request, we encourage Clients to contact us to discuss concerns. Many issues can be resolved through communication and adjustment of approach.

2. Cancellation Policy

2.1 Cooling-Off Period

For all new engagements, Client may cancel within seventy-two (72) hours of signing the Statement of Work or making initial payment (whichever occurs first) and receive a full refund of any amounts paid, provided no substantive work has commenced.

2.2 Cancellation by Service Type

Gen AI Operators / AI Enablement (Subscription Services):

  • Client may cancel with thirty (30) days' written notice
  • Services continue through the end of the current billing period
  • No refund for the current billing period; no future charges after cancellation effective date
  • Unused hours do not roll over and are not refundable

AI Product Studio (Project-Based Services):

  • Client may cancel with written notice at any time
  • Client is responsible for payment for all work completed through the cancellation date
  • Deposits are non-refundable once work has commenced
  • Company will deliver all completed work product upon cancellation

AI Commercialization Studio:

  • Advisory Engagements: Thirty (30) days' notice; no refund for current period
  • Productization Sprints: Same terms as project-based services above
  • Venture Partnerships: Governed by separate partnership agreement terms

2.3 How to Cancel

To cancel an engagement, Client must provide written notice via email to services@futureofaistudio.com. The notice should include:

  • Client name and project/engagement reference
  • Requested cancellation effective date
  • Reason for cancellation (optional but appreciated)

The Company will acknowledge receipt within two (2) business days and provide confirmation of the cancellation terms.

3. Refund Policy

3.1 Refund Eligibility

Refunds may be issued under the following circumstances:

  • Cooling-Off Period: Full refund if cancelled within 72 hours before work commences
  • Company Non-Performance: Pro-rata refund if Company materially fails to deliver agreed-upon Services
  • Duplicate Payment: Full refund of duplicate or erroneous charges
  • Mutual Agreement: As agreed in writing between the parties

3.2 Non-Refundable Items

The following are generally non-refundable:

  • Deposits for project-based work once work has commenced
  • Fees for Services already rendered and delivered
  • Subscription fees for the current billing period after services have been provided
  • Third-party costs incurred on Client's behalf (software licenses, API costs, etc.)
  • Rush fees, expedite charges, or premium service fees

3.3 Partial Refunds

For project-based work cancelled after commencement, refunds are calculated as follows:

Refund Amount = Total Paid - (Completed Work Value + Non-Recoverable Costs)

3.4 How to Request a Refund

To request a refund, Client must submit a written request via email to billing@futureofaistudio.com within thirty (30) days of the event giving rise to the refund request. The request should include:

  • Client name and project/engagement reference
  • Amount of refund requested
  • Detailed reason for refund request
  • Supporting documentation (if applicable)

3.5 Refund Processing

The Company will review refund requests within ten (10) business days and communicate its decision in writing. Approved refunds are processed within fifteen (15) business days via the original payment method.

4. Company's Right to Terminate

The Company reserves the right to terminate any engagement for non-payment, material breach, unethical requests, or abusive behavior toward Company personnel. In cases of Company-initiated termination (other than for Client breach), Client will receive a pro-rata refund for prepaid Services not yet rendered.

5. Rescheduling and Postponement

Projects may be postponed for up to ninety (90) days without penalty. Postponements beyond 90 days may be subject to rescheduling fees. Scheduled meetings cancelled with less than 24 hours' notice may be counted against allocated hours.

6. Disputes

If Client disagrees with a refund decision, they may request a review by submitting a written appeal to legal@futureofaistudio.com within fifteen (15) days of the decision. All disputes are ultimately subject to the dispute resolution provisions in the Terms and Conditions.
